Privacy Policy

join.soort.ai, the SOORT partner platform

This policy explains how SOORT AG collects, uses and shares personal data on join.soort.ai, where shops, affiliates, country managers and other partners apply to and manage their relationship with SOORT.

This is a different policy from the one covering soort.com. soort.com is an information site. join.soort.ai is an application and account platform, and it processes considerably more data.

1. Who is responsible

2. What we collect

When you apply as a shop

  • Business identity: legal name, legal form, country of registration, VAT or tax registration number, year founded, domain
  • Contact details: contact email, contact phone, physical store address where you provide one
  • Business information: estimated and uploaded product count, brand description, business type, whether you offer repair services and where
  • Founder and story information: founder names, and the free-text answers you give about your business and what you sell
  • Public profiles you choose to give us: Instagram, LinkedIn, TikTok, Facebook and other links
  • Certification information: Trustpilot and Good On You links, sustainability and product labels

When you apply as an affiliate or country manager

Name, city, primary country and any additional territories, contact email, contact phone, LinkedIn profile, languages, photograph where you provide one

Automatically, for every application

  • Verification results from the checks in section 4
  • A trust score calculated from your information and those results
  • A record of your acceptance of our agreements, including timestamp, IP address and browser user agent
  • Server log data: IP address, date and time, request, referrer, browser and operating system

If you use the partner dashboard

Account and login information, listing and product data you upload, subscription and invoicing details, and records of contact between you and your local partner

We do not collect card or bank credentials. Subscription fees are settled by bank transfer, so no payment card data is entered on or stored by this platform.

We do not sell personal data, and we do not resell partner or member data to third parties.

4. Automated verification checks

When you apply, we check your information against external sources. This is central to what SOORT offers, so we want to be plain about it:

  • Commercial registers, to confirm your legal entity exists. For Swiss businesses we use the federal commercial register service, Zefix.
  • Tax registries, to confirm your VAT registration. For EU businesses we use the European Commission's VIES system. For Swiss businesses we use the federal UID register at uid.admin.ch.
  • Domain registration records, through a third-party WHOIS lookup service, to confirm your web presence and its age.
  • Public information, including the social profiles and certification links you give us.

The results contribute to a trust score. The score does not decide your application on its own. A person reviews every application: your assigned affiliate first, then the country manager for your territory, or SOORT directly where no country manager is in place. You may ask how a score was reached, contest it, and provide further information.

Where no automated check is available for your country, we say so rather than showing a result.

5. Who receives your data

Your local partner. When you select or are assigned an affiliate, and where a country manager is appointed for your territory, they receive your application and the information in it. They are independent businesses, not SOORT employees. They are contractually bound to process your data only on our documented instructions, to keep it confidential, and not to export it from our authorised systems. Where no affiliate or country manager exists in your market, SOORT handles your application directly.

6. Where your data is held

Hosting and email run on servers in Switzerland, operated by zuri.net. Analytics run on our own Swiss server. The application database is operated by Supabase.

Where a provider stores data outside Switzerland or the European Economic Area, transfers are covered by appropriate safeguards, including standard contractual clauses.

7. How long we keep it

  • Applications that become partnerships: for the duration of the relationship, and ten years after it ends, in line with Swiss commercial record-keeping obligations
  • Applications rejected or withdrawn: 24 months, so we can answer questions about the decision and avoid reassessing the same application from scratch
  • Waitlist entries for markets not yet open: 24 months, or until you ask us to remove them
  • Acceptance records for agreements: the duration of the relationship and ten years after, because they are the record of the contract
  • Server logs: 6 months

8. Your rights

You have the right to access the personal data we hold about you, to have it corrected, to have it deleted where we have no continuing basis to keep it, to object to or restrict processing, and to receive your data in a portable form. Where processing rests on consent, you may withdraw it at any time.

You also have the right to a human review of any decision reached with the help of automated processing, and to contest it.

To exercise any of these, write to contact@soort.com. You may also complain to the Swiss Federal Data Protection and Information Commissioner, or to your local supervisory authority in the EU or EEA.

9. Cookies and analytics

This platform sets only the cookies needed for you to log in and complete an application. We set no advertising or tracking cookies, and no third-party cookies.

For statistics we use Matomo, the open-source analytics software, self-hosted on our own server in Switzerland. It is configured not to store cookies, and IP addresses are anonymised before storage. This is the same setup we run on soort.com.

10. Security

Data is transmitted over an encrypted connection. We take reasonable technical and organisational measures to protect personal data against unauthorised access, disclosure and alteration, and we require the same of our providers and our local partners.

11. Changes

We may update this policy. Material changes will be published here with a clear effective date, and active partners will be notified by email.
